8x10 Dot Photography takes pride in the work its produces and strives to ensure a smooth and respectful collaborative experience with all its clients
Non Exclusive Collaboration
No Partnership is Expressed

8x10 Dot Photography works with clients on a transactional, project-by-project basis, as outlined in the Working with 8x10 Dot Photography submission form below:

Each project is treated independently

There is no formal partnership or ongoing obligation beyond the agreed-upon scope of work.

Unlimited Submissions

Potential clients are welcome to submit multiple project requests at any time through the submission form

there are no limits to how often we can collaborate.

Completion & Final Delivery

Once the final product has been shipped for delivery, 8x10 Dot Photography is released from its obligations related to that project - unless a separate licensing agreement applies.

Shipping Support & Damage Resolution

Should any damage occur during the shipment (see FAQ on documenting deliveries), 8x10 Dot Photography will work with the client and shipping carrier to process a claim and find a suitable resolution.

To protect the integrity and originality of each project, 8x10 Dot Photography and the client mutually agree to maintain strict confidentiality at all stages of the process - past, present, and future.

What's Protected
- All information shared - regardless of format (verbal, written, digital) and when (past, present, future) - will remain confidential, including but not limited to:
- Project proposals
- Concept or design details
- Production techniques or plans
- Any discussions - via email, phone, video calls, or meetings
- Delivery logistics
- Implementation or usage of the final product

Licensing & Ownership Rights
Intellectual Property Rights Remain With The Artist

Each project is unique, and with that comes a tailored approached to how the work may be shared, reproduced, or distributed.
Limited Licensing for Use

Depending on what's been agreed upon, a client may receive specific licensing rights that allow for the use of distribution of the final project/work.

These licensing terms may cover:

The number of copies permitted for distribution

The duration or timeline the license covers
-
The formats or materials on which the work may be reproduced

Any additional conditions outlined by 8x10 Dot Photography and approved by the client.

Separate Licensing Agreement Required

To formalize any such rights, a separate licensing agreement must be signed prior to usage.
Intellectual Property

Unless otherwise stated in writing, which has to be dated and signed by Christina Shivcharan, all intellectual property rights remain exclusively with the artist/8x10 Dot Photography

This ensures each piece maintains its creative integrity and rightful ownership.

Termination, Cancellation & Refund
Right to Refuse Requests
TERMINATION

To maintain professional integrity, 8x10 Dot Photography reserve the right to decline or discontinue work if any of the following conditions are breached:

Agreed-Upon Specifications - changes that deviate from the original agreement beyond reasonable negotiation

Basic Human Rights & Professional Respect - disrespectful, unethical, and or, hostile behaviour that disrupts collaboration

If the project is terminated, the client will be notified via email (please ensure you provide accurate contact details) before proceeding with any financial transactions.
PAYMENT STRUCTURE

To maintain fairness and clarity, 8x10 Dot Photography requires a financial agreement prior to project initiation.

Payment structure is determined by the nature and scope of each project:

this may include a deposit-based, or a milestone-based model for larger bodies of work
-
details will be outlined in the approved estimate
-

A 50% deposit is commonly required upon agreement to secure project scheduling; remaining balances are typically due upon completion and prior to final delivery of assets.

For complex or long-term projects, multi-phase invoicing may be implemented, with payments due at agreed checkpoints.

All transactions are conducted securely, via this website using Wix Payments, with digital receipts issued at each stage.
CANCELLATION
-
During the Pre-Production Phrase, the client may cancel up to 7 days after the project is greenlit.
REFUND
- During the Pre-Production Phase
- if payment has been made, a full refund will be issued to the original payment method
- During the Production or Delivery Phase:
- once materials have been purchased and your project scheduled for production, refunds are no longer available
- cost incurred are specific to your commission and cannot be reallocated.

Project Clarity & DIspute Prevention
Let's Plan to Avoid Disgreements

8x10 Dot Photography believes the best way to avoid disagreements is by laying a clear foundation from the very start.

Agreements Before We Begin

All terms - such as specifications, design, details, materials, delivery methods, and estimated expenses - must be confirmed and documented prior to the start of the project and any financial transactions.

Reference Documents

These documented terms will serve as reference points throughout the project to ensure alignment and help resolve any uncertainties that may arise.

Check-in Meetings
-
To keep things on track and within scope, brief, structured check-ins will be held throughout the project. These will:

Take place via video conference

Be scheduled as needed, depending on project timelines
-
Be time-respectful: 10-30 minutes max.

Be followed by a written summary (email or another mutually agreed format)
-

These meetings ensure we stay in sync, review any approved changes, and move forward with transparency and ease.

Dispute Resolution Process
In The Event Of A Disagreement

8x10 Dot Photography believes in handling concerns with professionalism, transparency, and respects.

If any issues arise, the following steps will guide us toward resolution:
Step 1: Open Communication
-
The client and 8x10 Dot Photography agree to first attempt to resolve any concerns through direct and respectful dialogue.
Step 2: Mediation (if needed)
-
If an agreement cannot be reached within thirty (30) days, either party may initiate mediation - at their own expense - to help facilitate a resolution.
Step 3: Arbitration
-
If mediation does not lead to resolution, the matter will proceed to arbitration, with:

One (1) arbitrator selected and paid for by the party raising the claim
-
Additional arbitration terms detailed in the final project contract, mutually agreed upon before work begins
-
Proceedings will take place in Toronto, Canada, or via an ODR (Online Dispute Resolution) platform for international clients
-
All proceedings will be conducted in English.

All claims or supporting information must be submitted in written (electronic) format.
